What data we collect through this website and our recruitment platform, why we collect it, how long we keep it, and the choices you have.

1. Who we are

PH Talent Partner is a boutique recruitment agency based in Makati City, Philippines, that helps international companies hire Philippine-based talent. This policy covers the personal data we handle through this website (including the "Request Talent" intake form), our recruitment platform, and related email correspondence. Our registered business name and DTI/SEC registration number will be published here once finalized.

2. What data we collect

Company and client contact data. When you submit the intake form or contact us by email, we collect your company name, contact name, work email address, and the role details you provide (title, description, requirements, budget band, timezone expectations).

Candidate data. Candidates we source or who apply provide their name, email address, phone number, resume, skills and work history, salary expectations, availability, English proficiency, timezone, and interview notes. Interviews may have an optional recording link, captured only with the candidate's knowledge.

Account and usage data. Users of the recruitment platform (client, recruiter, and candidate accounts) provide a name, email address, and password (stored only as a hash). We log routine usage events — such as pipeline stage changes — to keep an audit trail of recruitment decisions.

Technical data. Standard server logs (IP address, browser type, pages visited) used for security monitoring and debugging. We do not use advertising or cross-site tracking cookies on this site.

3. Why we collect it

We use personal data only to operate the recruitment service you asked for: to respond to intake requests, to source and evaluate candidates against a specific open role, to share shortlisted candidate profiles with the client company that opened the role, to coordinate interviews, and to keep clients and candidates informed about the status of an application.

Candidate profiles that are not hired for a particular role may be kept in our talent pool so we can propose them for future roles — see "Your choices" below for how to opt out.

4. Legal basis and data privacy law

We process personal data with the consent of the person it belongs to, or as necessary to perform a contract (such as finding a candidate a role or filling a client's requirement). We comply with the Philippine Data Privacy Act of 2012 (RA 10173) and, where our clients or candidates are located in the EU or UK, with the GDPR. Our data protection practices are designed around the principles those laws share: lawful purpose, proportionality, transparency, security, and accountability.

5. Who can see your data

Client companies can see only the candidates shortlisted for their own requirements, together with scorecards and recommendations. They never see our raw talent pool or any other client's data.

Our staff (recruiters and administrators) can see what they need to do their job, under role-based access controls and an audit log.

Service providers. We may host data with cloud infrastructure providers under contracts that restrict their use of it. We never sell personal data, and we never share it with third parties for their own marketing.

6. How long we keep it

Intake submissions and correspondence are kept for up to two years after our last contact with you. Active requirement and application records are kept for the life of the engagement, then archived.

Candidate profiles in the talent pool are kept until the candidate asks us to remove them, or after a period of inactivity (to be set by the business, typically 24 months) at which point they are reviewed for deletion. Financial records connected to placements are retained as required by Philippine tax and commercial law.

7. Security

Data is transmitted over HTTPS, passwords are stored only as salted hashes, access to the platform requires authentication and is limited by role, resume files are stored outside the public webroot and served only through authenticated download links, and sensitive actions are written to an audit log. No system is perfectly secure; if a breach affects your data, we will notify you and the relevant regulator as required by law.

8. Your choices and rights

You may ask us at any time to access, correct, or delete your personal data, to withdraw it from the talent pool, or to object to a particular use. Email hello@phtalentpartner.test and we will respond within a reasonable period (and no later than the timelines required by applicable law). You may also lodge a complaint with the Philippine National Privacy Commission.

9. Changes to this policy

If we change how we handle personal data, we will update this page and, for significant changes, notify active clients and candidates by email. This page always carries the current version.
